How to Use AI to Automate Email Replies

If you run a business, you probably spend at least two hours a day answering the exact same questions over email: "Where is my order?", "Do you offer refunds?", or "How do I reset my password?" Using AI and a simple automation tool like Zapier, you can completely automate these replies.
The Workflow Setup
Step 1: The Trigger (Zapier)
Create a free Zapier account. Set the "Trigger" to your email provider (e.g., Gmail). The trigger should be "New Email Matching Search." Set the search criteria to only capture emails sent to your support address (e.g., support@yourcompany.com).
Step 2: The AI Brain (ChatGPT API)
Add a second step in Zapier: "OpenAI (ChatGPT)". Choose the action "Send Prompt." Your prompt needs to be highly structured. For example:
"You are a helpful customer support agent for [Your Company]. Read the customer's email below. If they ask about shipping, tell them it takes 3-5 days. If they ask for a refund, tell them to visit our returns portal. Write a polite reply. Customer Email: [Insert Email Body from Step 1]"
Step 3: The Draft Action
Add a third step: "Gmail - Create Draft." Map the response generated by ChatGPT into the body of the draft, and set the "To" address as the original sender's email.
The Result
Now, whenever a customer emails you, Zapier sends the email to ChatGPT, ChatGPT writes the perfect reply based on your rules, and Zapier creates a Draft in your Gmail inbox. All you have to do is open your Drafts folder, quickly review the AI's work, and click Send. You just saved yourself 2 hours a day.
